Running a city
is digital now.

The smart city management systems we build for councils and city authorities bring every process onto one platform - from resident requests to social support, the contact centre to the digital archive.

Why It Matters

Paper runs out, data remains.

Which neighbourhood did a request come from, how many days has it been waiting, which department is it stuck in? The answers belong on a screen, not in a filing cabinet. Digitising the process does not only make you faster - it lets you see what is going wrong on which street.

  • Real-time tracking by neighbourhood and street
  • Task flow between departments with clear ownership
  • Every step of a resident's application on the record
  • Decision-support reports for management on one screen

Move your documents
into digital form.

Digital Archive is a complete solution that moves all of your council's documents into a secure, accessible and searchable digital environment. It removes the cost, lost time and risk of losing documents that come with a physical archive.

Option 1

Software only

We set the system up and hand it over; your own staff carry out the scanning at their own pace. If you already have scanners, or your archive is partly digital, this is the most economical route.

  • Installation, configuration and building the folder structure
  • Staff training and user documentation
  • Bulk migration of existing digital documents into the system
  • Direct integration with the scanners you already use
Option 2

Turnkey - scanning included

We take on the entire move to a digital archive. With our own team and our own equipment we scan, classify and load your archive on site; you simply take delivery.

  • On-site scanning - no document leaves the building
  • High-volume scanners and wide-format support for A0 plan sheets
  • Special handling for bound, deteriorated and handwritten documents
  • OCR, classification, tagging and quality control
  • A confidentiality undertaking and access log throughout the process

FAQ

Questions we get asked

Can we take the modules one at a time?

Yes. The platform is modular; depending on the council's priority you can start with service requests alone or the digital archive alone, then add the rest later. The modules are built to share data with each other.

Can our existing data be migrated?

Yes. Records already in electronic form are transferred directly, while paper archives are scanned and converted into searchable digital text with OCR. Handwritten documents are largely made readable as well.

How does a resident submit a request?

Requests arriving through the website, the mobile app, the contact centre or a ward office all land in the same pool. Whichever channel it came from, it is tracked under one reference number and the resident can see what stage it has reached.

How long does installation take?

A single module can be live in 2-4 weeks. A full platform rollout, including data migration and staff training, generally takes 2-3 months. We plan the sequence with you so day-to-day service is not disrupted.

Do you train our staff?

Yes. We provide on-site training tailored to each unit, plus written guides and video material. Support continues after go-live, and refresher sessions are held when new staff join.
